Data Manager and Exams Officer

Full time, permanent for 43 weeks per year. Grade: 9/10 - Actual salary £26,164 to £33,654 (depending on experience).

Purpose of the job

● To be responsible for the planning, administration and organisation of all internal and external examinations/assessments in accordance with the Joint Council for Qualifications (JCQ) regulations (on behalf of the JCQ member awarding bodies) and/or awarding bodies.

● To ensure data is collected, managed, collated, analysed and distributed in a timely manner to support pupil progress and attainment.

● To assist the appropriate member of SLT in the creation, checking and distribution of the annual school timetable. Main duties and responsibilities - Exams

● To support the Headteacher in taking all reasonable steps to prevent the occurrence of any malpractice/maladministration before, during the course of and after examinations have taken place by pupils and staff.

● Be responsible for managing the effective and efficient administration of NEAs and external examinations in accordance with rules for exam administration in a consistent and secure fashion, thereby helping to maintain the integrity of the assessment process.

● To act on behalf of, and be the main point of contact for, the centre in matters relating to the general administration of awarding body examinations and assessments including JCQ Centre Inspection Service.

● Be responsible for the compliance of JCQ regulations and all awarding bodies in order to maintain the security and integrity of examinations at all times.

● To annually confirm the information required by the National Centre Number Register (as administered by OCR on behalf of JCQ).

● To liaise with the Headteacher, appropriate SLT members and Heads of Department and all other relevant staff regarding all exam related matters.

● To liaise with Heads of Departments to ensure that the correct entries are made for all examinations.

● To support the SENDCO in implementing examination access arrangements or reasonable adjustments for eligible candidates.

● Be responsible for the recruitment and training of the external invigilation team and maintain high standards of invigilation.

● Be responsible for creating internal and external timetables for examinations, resolving issues relating to exam clashes, invigilation and exam room bookings.

● Be responsible for booking rooms for exams and liaising directly with site staff to ensure effective set up of exam facilities. ● Be responsible for the secure storage of all examination materials in accordance with JCQ regulations.

● Ensure all internal assessment marks are processed and sample work is collated and dispatched on time to exam boards and moderators.

● Be responsible for the smooth day to day running of the public exam series in May and June, as well as ad hoc exams during the year.

● To brief candidates/staff/parents/carers on examination regulations and requirements.

● To inform SLT and JCQ/exam boards of any instances of malpractice or maladministration.

● To contribute to the creation/review/update of exam-related policies/procedures as required by the regulations so they accurately reflect the working practices in the centre.

● To manage events around exams such as Results Day and Certification/Presentation Evening.

● Be responsible for organising the dispatch of results and certificates to students and ensuring records are maintained for archive.

● To liaise with staff, pupils and parents/carers to deal with post results queries and appeals, keeping accurate records of applications, outcomes and related charges.

● To ensure Heads of Department and SENDCo are fully updated on dates and deadlines, as well as changes in examination procedures.

● To verify and monitor invigilator claim forms prior to forwarding to the Finance Department for payment.

● To verify awarding bodies fees and charges prior to forwarding to the Finance Department for payment.

● Be responsible for processing post-results services requests both internally and requested by pupils/parents/carers and keeping everyone informed of the outcome.

 

Main Duties and Responsibilities - Data

● Be responsible for keeping the SIMS pupil and Go4schools databases up to date.

● To ensure that information collected from the Year 6/7 Admission form is entered correctly onto the SiMs database including checking for Pupil Premium/Children in Care information and entering this on to the database.

● To oversee the collection, collation and distribution of assessment data (KS2 tests, Teacher Assessments, MIDYIS, Reading Ages, Spelling Ages) both internally and between our partner KS2 schools.

● Be responsible for collecting and collating data required for the LA, DfE, QCA and other external agencies.

● To manage the reports process within the school including the production of reports for parents/carers

● Be responsible for analysing report data prior to distributing to SLT, Heads of Department and Head of Years.

● Be responsible for inputting and maintaining the timetable into SIMS Nova-T6.

● Be responsible for creating the new academic year in SIMS and allocating pupils to classes.

● Be responsible for the collection of data for the termly school census.

● Be responsible for creating the online parents’ evening booking system.

● Be responsible for the post 16 and PS16 application data transfer.

● Be responsible for collating and distributing behaviour data (detentions, removals, internal exclusions, suspensions) Other Duties and Responsibilities

● Participate in staff training and take a lead in own professional development, such as staying up to date with changes to platforms such as SIMS & Go4schools.

● To identify and access relevant support and CPD from external stakeholders, e.g. Awarding Bodies, The Exams Office and EO network.

● Be responsible for supporting, training and delegation of data and exams duties to the Data and Exams Assistant

● Undertake similar duties commensurate with the level of the post as required by the Headteacher

● The nature of the work may involve the postholder carrying out work outside of normal working hours, especially during exam seasons, GCSE results day (and the day preceding) and GCSE presentation evening.

All pay rates quoted will be inclusive of 12.07% statutory holiday pay. This advert is for a temporary position. In some cases, the option to make this role permanent may become available at a later date.
